BOOKINGS

  • Final number of rooms and name list must be confirmed 60 days before arrival.
  • Between 60 and 45 days before arrival, a reduction of 10% in numbers is allowed without cancellation fees.
  • Less than 45 days before arrival, any reduction in numbers will incur cancellation fees.
  • A 50% deposit, based on the full contract value, is payable 120 days before group arrival unless otherwise specified.
  • Bookings made less than 60 days before travel require full prepayment within 10 working days of reservation unless otherwise specified.
  • While SA Family Travel makes every effort to adhere to the proposed itinerary, deviations due to unforeseen circumstances may occur.

PAYMENTS

  • A 50% deposit is required to confirm all bookings; failure to pay may result in reservation forfeiture.
  • Full payment of the remaining 50% is required within 60 days of travel.
  • Bookings made within 60 days of travel require full payment at confirmation.

CANCELLATION POLICY

  • After tour acceptance: 10% of contract value.
  • 60 – 45 days before arrival: 25% of contract value.
  • 45 – 0 days before arrival: 100% of contract value.
  • No show: 100% of contract value.
  • As a wholesale operator, SA Family Travel follows the cancellation policies of booked properties and enforces their terms.
  • The Pro Forma Invoice amount is subject to exchange rate fluctuations and accommodation rate changes.

  • Payments for bookings can be made to:

  • A copy of the deposit slip must be emailed to [email protected] with relevant details and invoice number.
  • Failure to provide proof of payment may result in reservation cancellation.
  • Late payments incur a 10.5% annual interest charge, calculated daily on the outstanding balance.
  • A 5% fee applies to credit card payments due to high bank charges.

TRANSFERS

  • Transfers are subject to weather conditions and aircraft availability.
  • Transfer rates are based on scheduled transport and align with daily airline schedules.
  • Guests are covered by passenger liability insurance during transit.
  • Luggage limits:
    • Air transfers: 15kg per person (soft bags, including hand luggage).
    • Domestic flights: 20kg per person.

GENERAL TRAVEL INFORMATION

  • Guests visiting malaria-risk areas should consult a medical professional for recommended precautions.
  • All guests must sign an indemnity agreement upon arrival at safari lodges, acknowledging associated risks.
  • Any special requests (dietary, medical, special occasions) should be communicated at least 60 days before arrival.
  • Comprehensive travel insurance covering personal effects, medical expenses, and cancellation is required.
  • Guests are responsible for checking and obtaining necessary visas before travel.
  • SA Family Travel is not liable for delays caused by technical issues, road/weather conditions, or other unforeseen circumstances.
  • The tour leader is responsible for the group, and all guests must follow their lawful instructions.
